Position: Manager, Maternity Cover – Saddletravel.com & Saddletravel.fr.

Location: Remote with occasional visits to the office in Hereford, Wales and travel opportunities.

Terms & Conditions: Part-time position (24 hours per week) for a few months, with full-time opportunity for a few months (Nov to Feb). Potential opportunity to convert to a permanent role after the maternity cover ends.

Timing: Start late August / early September 2024. Maternity cover role to run until April / May 2025, with opportunity to stay in the team as a permanent role.

Job Dimensionsย 

Working for an equestrian travel agency, you should be passionate and knowledgeable about traveling and horse riding. Responsible for managing saddletravel.com and saddletravel.fr including customer service, booking process, website management, social media (organic & paid), email marketing and expanding the companyโ€™s offering of riding holidays worldwide.

Purpose of role

To help people plan, choose and arrange their horse riding holiday by offering advice and opinions on where to go and the type of holiday best suited to the customer. Work within a small team to grow the company by identifying new suppliers worldwide and negotiating with them to sell their holidays on saddletravel.com and .fr. Increase brand awareness through marketing channels and identifying potential new opportunities to raise awareness of saddletravel.com and .fr and the holidays it offers.

Key responsibilities

Customer Service

  • Provide a high level of customer service to customers before, during and after the booking process. Offering accurate advice to customer enquiries and selling riding holidays to English and French speaking customers.
  • Update and maintain booking spreadsheets and dealing with all booking and holiday arrangements with customers and with holiday providers, being the main contact for both.
  • Proactively source new suppliers in different destinations. This includes negotiating terms with potential suppliers, visiting suppliers, sourcing all information and photos, preparing itineraries, photos and holiday descriptions for the website.
  • Occasionally travel to test the trails we offer on the website, when invited by our partners, to test the trails and make sure the experience is up to our standards, as well as create visual content to use in social media and newsletters.

 

Website Management

  • Add new trails and update existing trails information on both websites (both .com and .fr) as needed and instructed by the partners.
  • Update regularly dates, availability and prices for all trails in Surefooted, our booking system, and make sure the websites update correctly.
  • Monitor the websites and work with the team to fix bugs or any issue as soon as spotted.
  • Regularly write new articles for the Blog section of both websites.

 

Marketing

  • Run the social media accounts for saddletravel.com and saddletravel.fr (Instagram & Facebook), including posting regularly (twice a week) and responding to comments and messages.
  • Manage social media paid ads in Meta (Facebook & Instagram). Monitor and report results weekly, make any needed changes to the ads with Founderโ€™s approval.
  • Coming up with ideas for the weekly newsletters (sending a newsletter every 5 days to both databases, .com and .fr), planning newsletter content, writing the copy (with the help of ChatGPT) and creating visuals, putting the newsletters together and scheduling them in Klaviyo.
  • Monitor automated CRM welcome flows in Klaviyo and make any necessary adjustments when needed.
  • Weekly reporting of marketing KPIs.

 

Admin

  • Maintaining all financial records and running the accounts e.g. producing invoices for customers and paying suppliers in a timely manner.

 

Saddletravel.de

  • For the right German-speaking candidate, support the launch of the German website with content translations and customer service to German-speaking customers.

Skills required

  • Fluent/Bilingual in English and French (compulsory)
  • Trilingual with German-speaking is a big plus
  • Previous experience within the travel industry preferable
  • Excellent computer skills including web-based applications
  • Proficient with WordPress, Klaviyo and Meta Ads Manager a big plus
  • Strong sales skills and commercial awareness
  • Ability to communicate and negotiate effectively
  • Good competent horse rider with lots of personal travel and riding experience.
